What we collect
We may collect the nominee’s name, age, country, location, contribution story and related information. We also collect the nominator’s name, email address, relationship and, for self-nominations, two endorsers’ names and email addresses.
How we use it
Information is used to check eligibility, administer nominations, request endorsements, communicate with nominees and nominators, conduct the assessment process and publish an approved Who’s Who listing.
Why we use it
We use information where it is necessary to administer the programme, respond to a request, protect the integrity of the process, comply with applicable law or where a person has given consent. You may withdraw consent for publication at any time before a listing is released.
Sensitive information
Nominations may include personal experiences involving health, family or recovery. These details are reviewed confidentially. We will contact the nominee and obtain permission before publishing any personal story or sensitive detail.
Who can access it
Access is limited to the secretariat, authorised operations staff and the confidential internal panel where needed for assessment. Panel identities and individual scores are not disclosed publicly.
Service providers and transfers
We may use carefully selected technology, hosting, database, communications and professional service providers to operate the programme. They may process information only for the instructed service, under appropriate confidentiality and security obligations. Where information is processed across borders, we take reasonable steps to protect it.
Security and incidents
We use reasonable administrative, technical and organisational safeguards. No online service can guarantee absolute security. If we become aware of a material incident affecting personal information, we will assess it and take steps required by applicable law.
Retention and requests
We retain records for administration, accountability and audit. To ask about your information, request a correction or raise a concern, write to ask@womenwhoswho.io.
Your choices
You may ask us to correct information, explain how it is being used, withdraw consent for publication or request deletion where retention is no longer required. Some requests may affect our ability to administer a nomination or maintain an audit record.
